Improve Air conditioning PPM Schedule

Hospitality
Webb Group Hotels – Moor Hall Spa and Hotel

Smart Projects has enjoyed a close working relationship with Matt, the lead Project Manager for the Webb Group, collaborating on multiple projects. One such project involved Moor Hall Spa and Hotel, a prestigious property that presented a unique challenge due to its age and the diverse range of HVAC equipment accumulated over time. This case study details how Smart Projects addressed these challenges, delivering significant improvements in efficiency, clarity, and cost-effectiveness for Moor Hall.

The challenge

Moor Hall Spa and Hotel, a historic property, has undergone numerous air conditioning retrofits over the years to adapt to evolving needs and comfort standards. However, the previous contractor, despite a long tenure, had failed to provide the essential information needed by the site. This included documentation on outdated systems, necessary repairs, and general advice regarding the optimal operation of their air conditioning. This lack of transparency and proactive maintenance resulted in inefficiencies, potential breakdowns, and a lack of control over operating costs.

The solution

Comprehensive Asset Audit
A thorough audit was conducted to identify and document every piece of HVAC equipment on site, creating a detailed asset register. This register included information on the age, condition, model, and maintenance requirements of each unit.

Regular Planned Preventative Maintenance (PPM)
A PPM schedule was established, with service visits conducted twice annually. These visits included thorough inspections, cleaning, and performance testing of all equipment.

Detailed Reporting
Following each service visit, Smart Projects provided detailed reports outlining the condition of the equipment, any issues found, and recommendations for repairs or replacements.

Proactive Repair and Replacement
Smart Projects adopted a proactive approach to repairs, identifying potential issues before they escalated into costly breakdowns. They also provided expert advice on replacing outdated or inefficient equipment with modern, energy-efficient alternatives.

Reactive Maintenance
In addition to planned maintenance Smart Projects were available to attend site quickly when issues occurred.

Smart Projects has now been looking after the site for 18 months, providing an understanding of all equipment on site with an up-to-date asset register, improved reporting on the findings following planned service visits, and a proactive approach to repair works. Smart Projects now complete the required planned maintenance twice annually, with efficient reactive works all year round. We are pleased to have a partner who we know has our best interests in mind.
